Privacy
What Planline collects, why, where it's kept, and your rights under the Privacy Act 2020.
1. What we collect
- Your email address, to sign you in with a code and to email you about your account, trial and billing.
- Your planning: everything you enter, such as term dates, timetables, lessons, units, topics, notes, teacher aides and assessments, including your class and school name if you add them.
- Account details: when you signed up and last used Planline, your trial dates, and which emails we've sent you, so nothing is sent twice.
- Subscription details from Stripe: your plan, whether it's active, and when it renews. We never receive or store your card number.
- School plans: the email addresses a school account holder adds for their colleagues.
- Share links: who each link is for (the label you give it), when it expires and when it was last opened.
- Feedback, if you choose to share it: your star rating, what you wrote, the name and school or region you want shown with it, and whether we may publish it.
We also keep short-lived technical records needed to run Planline securely, such as sign-in sessions, and limits on repeated sign-in attempts from the same email address or connection, which briefly record your IP address.
2. What we don't collect
No passwords, no advertising or tracking cookies, and no analytics. Planline sets one cookie, which keeps you signed in. Your browser also keeps a copy of your planning and your colour theme on your device so Planline works offline. Signing out removes the copy of your planning.
Planline isn't designed to hold sensitive information about students. Please don't enter health, learning support or family details. If you mention students, use first names or initials only.
3. How we use it
Only to run Planline for you: to sign you in, save and sync your planning across your devices, show it to people you share it with, manage your trial and subscription, give school colleagues their seats, and send you account emails. Those are sign-in codes, a welcome email, reminders about your trial and renewal, receipts and payment problems. A few emails in your trial point out features, and each of those has a one-click unsubscribe.
The owner of Planline can see account-level details, such as email addresses, sign-up dates and subscription status, to run the service and help you. The admin tools don't show anyone's planning.
4. Services we use
Planline uses a small number of trusted providers, who handle your information only to provide their service to us:
- Cloudflare: hosts Planline and stores your account and planning.
- Stripe: takes payments and manages subscriptions. Your card details go to Stripe, not to us.
- Resend: sends Planline's emails, so it receives your email address and the email's content.
- Google Fonts: supplies Planline's typefaces, so your browser contacts Google when pages load.
- Google Drive, only if you choose to use it: when you import a file or attach one to a lesson, you sign in to Google yourself and pick the file. Planline gets access only to the files you pick, never the rest of your Drive, and an imported file goes straight from Google to your browser without passing through our servers.
5. Where it's stored
These providers store and process information on servers that may be outside New Zealand, including in the United States. Before we use a provider we check that it protects personal information in ways comparable to the Privacy Act 2020, as that Act requires.
6. Share links and schools
When you create a share link, anyone with it can read the planning it covers (weekly plans, lesson plans, unit plans and term topics) until it expires or you turn it off. Your unit plan and term topic notes are removed before anything is sent. We store only a scrambled fingerprint of each link, never the working link itself.
On a school plan, the account holder can see which colleagues' email addresses have seats. They can't see anyone's planning. Each teacher's planning is private to them.
Feedback and testimonials
Two weeks after you start, Planline invites you to share feedback, and everyone who does gets a free month, whatever they say. We only publish feedback on the Planline website if you ticked the box to allow it, and we show only your stars, your words, and the name and school or region you chose. Your email address is never shown. Email us any time to have your feedback taken down or deleted.
7. How long we keep it
- Sign-in codes expire after 15 minutes. Sign-in sessions last 60 days, and expired ones are cleared nightly.
- Expired or turned-off share links are deleted 30 days later.
- Your account and planning are kept while you have an account, including after a trial or subscription ends, so you can come back to them.
- If you ask us to delete your account, we delete your planning and account details. Records we must keep by law, such as payment records held by Stripe, are kept for as long as the law requires.
8. Keeping it safe
Everything travels over an encrypted connection. Sign-in codes, sessions and share links are stored only as scrambled fingerprints, not in a form that could be used. Your planning can only be reached through your own signed-in account or a share link you created. If a privacy breach ever caused, or was likely to cause, serious harm, we would tell you and the Privacy Commissioner as the law requires.
9. Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete your account. Much of it you can do yourself: your planning is in Planline, and Back up gives you a complete copy at any time. For anything else, email us from the address on your account and we'll respond within 20 working days.
10. Contact and complaints
Planline is run by Daniel Southam, a registered teacher trading as Southam Apps, a sole trader in New Zealand (NZBN 9429053988713), who is responsible for the personal information described here. Email apps.southam@gmail.com with any privacy question or concern. If you're not happy with our response, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
We may update this policy as Planline changes. If a change matters, we'll let you know by email or in Planline before it takes effect.
